When a reconciliation contains thousands of transactions, a large part of the effort can go into confirming records that already agree. The opportunity is to establish which checks can follow approved rules, so the team has more time to investigate the differences.

That can be achieved without an AI model, provided the data is reliable and the matching policy is clear.

### Start with complete and consistent data[![Positive8 Blog Promos (2)-1](https://blog.positive8.com/hs-fs/hubfs/Positive8%20Blog%20Promos%20(2)-1.png?width=199&height=284&name=Positive8%20Blog%20Promos%20(2)-1.png)](https://www.positive8.com/ContactUs)

For a bank to ledger reconciliation, both sources need to cover the correct account, period and currency. The process should check that the expected records have arrived and that imports have neither duplicated nor dropped entries.

Positive8 can build those connections through supported interfaces or controlled file imports, then bring references, dates and currencies into a consistent structure. That requires an understanding of both the transaction data and the systems providing it.

### Turn the finance policy into tested rules

Finance decides what constitutes a match, which might involve a unique reference, amount and currency, with an approved date window or tolerance where appropriate.

Partial payments, duplicate references and records with several possible matches need separate treatment. Positive8 can translate the policy into matching logic using SQL or suitable reconciliation software, recording which rule produced each proposed match and testing difficult cases with the team.

Any automatic clearance remains subject to an approved control policy, rather than being assumed as part of the technical build.

### Make exceptions easier to investigate

Unmatched or ambiguous items should reach a review queue with enough context to explain why they were flagged. A named owner can then investigate the difference and record whether it relates to timing, a missing posting or an error in the source.

Positive8 can build that routing alongside duplicate checks, failure alerts and monitoring, so the team can distinguish a completed run from one that stopped because a file was missing. We document the process for handover and agree support ownership.

### Measure the quality of the result

The intended outcome is less routine checking and a clearer view of unresolved items, but a high match rate alone is not enough evidence of success. Measure correct matches, false matches, review time and the age of exceptions, comparing the results with an independently reviewed reconciliation during a pilot.

Finance retains ownership and sign off, while Positive8 provides the data, integration and testing skills needed to deliver the agreed approach.
